Cash register in your eyelash salon - a guide

Today, a few words on a topic that often comes up in conversations with stylists who shop with us, but is also very popular on internet forums, i.e. CASH REGISTER . I've often had doubts and asked myself questions: What's the point of a cash register? Who needs a cash register? Is a cash register necessary in an eyelash salon? I think we've all had these dilemmas. So I hope the following tips will shed some light on the matter.

First of all, remember that the best one for you will be A mobile cash register , meaning a cash register with a battery instead of one that's charged from the mains – even if you only do treatments at home now, you never know when you'll become a mobile stylist. It's best to stick a note on your phone or set a reminder to check the battery every two months. I'm telling you this because I heard about a situation where the cash register ran out of power, the stylist didn't issue a receipt, and the client reported it to the tax office. Needless to say, such a trivial matter can turn into a serious problem, so please remember to keep your cash register and its charging.

The second thing I want to say is that there are cash registers resistant to moisture, hair clippings, and dust particles and similar contaminants, so it's worth asking the seller whether our future device will work in a showroom. You should easily find such a device online and at stationary retailers.

Now I will get to the point and answer questions that often arise about cash registers!

#1. Is a cash register necessary in an eyelash salon?

Yes, it is necessary – the exemption from the requirement to have a cash register does not apply to hairdressing, beauty, and cosmetology services. I should also add that, as of July 1, 2021, the mandatory cash register must be an online cash register. If you want to learn all about it, the text of the regulation is available here.

#2 What do you need to have a cash register?

You'll need your Tax Identification Number (NIP) and company name, then select the device you want and contact the seller/service technician. Generally, finding cash register sellers in any city isn't a problem – recently, devices that are not only cash registers but also cashless payment terminals have been increasingly popular (type "cash register terminal" into a search engine and you'll find what I mean).

#3. What to do after purchasing the cash register?

We've already established that we need an online cash register. This makes things easier because the formalities related to getting started, known as fiscalization, will be handled by the cash register technician. Once the online cash register is fiscalized, we can begin work. Remember, internet access is required to record sales.

Remember to keep your receipt of purchase - this is needed, for example, to benefit from a guarantee or discount.

#5. How much funding can I receive for my first cash register?

The amount of the relief is 90% of the cash value, but no more than PLN 700.00 . For those who pay VAT, the relief is deducted in the JPK_V7 file, where the amount of the relief for the purchase of a cash register must be indicated. For non-VAT taxpayers, the relief is settled by submitting an application to their tax office.

#6. Can I buy a used cash register?

Before the advent of online cash registers, it was common for aspiring entrepreneurs to buy a used cash register and report it to the Tax Office. However, this is now unprofitable, and I haven't heard of anyone doing so. It's worth investing in a new cash register, with a warranty and service.

#7. Do you need monthly/daily reports?

Each day of using the online cash register should be concluded with a daily report. This should be issued no later than the start of sales the following day. However, if no sales occurred during the day, there is no need to print a daily report. The monthly report should be issued after the end of the month in which sales occurred, but no later than the 25th of the following month.

#8. Do I need to archive/store cash register data?

Having an online cash register frees you from archiving duties. This is great news, as you don't have to worry about cash register rolls. And we all know that you can never have too much storage space, so why waste it on unnecessary archives?

#9. Do I need a cash register for unregistered business?

In the case of beauticians, i.e., eyelash stylists, this is absolutely required. Even for beginners, i.e., unregistered businesses, you need to consider a cash register.

#10. Do I need a cash register in a mobile eyelash extension salon?

Yes, you can't do without it. This is where a portable, battery-powered cash register comes in handy.

There's one more thing I haven't mentioned, online you'll come across the term "electronic fiscal receipt", which is equal to a paper receipt, meaning you don't have to print anything - e-receipt generating systems are starting to appear in Poland, so maybe soon you'll be able to start using them inexpensively - we'll see ;)
